Setting Up Your Organization
Step-by-step guide to creating and configuring your organization account on Opengates — including choosing your organization type, adding your logo, writing your description, and completing your profile.
Why Your Organization Profile Matters
Your organization profile is the first thing freelancers, potential partners, and other users see when they encounter your organization on Opengates. A well-crafted profile establishes credibility, communicates your mission, and attracts the right talent to your projects. Think of it as your organization's digital storefront on the platform — it should accurately represent who you are, what you do, and why freelancers should want to work with you.
A complete organization profile also improves your visibility in search results. Organizations with fully filled-out profiles — including a logo, description, website, and location — appear more prominently when freelancers browse for opportunities. Taking the time to set up your profile properly from the start saves you effort later and puts your best foot forward.
Creating Your Organization Account
Step 1: Sign Up for an Organization Account
To get started, navigate to the Opengates sign-up page. During the registration process, you'll be asked to select your account type. Choose Organization from the available options (Freelancer, Client, Organization).
You'll need to provide:
- Email address — Use an official email associated with your organization if possible. This adds an extra layer of legitimacy to your account.
- Password — Create a strong, secure password. We recommend using a combination of uppercase and lowercase letters, numbers, and special characters.
- Organization name — Enter the full legal or commonly known name of your organization. This will be displayed on your profile and all task listings.
After completing the initial sign-up form, you'll receive a verification email. Click the link in the email to verify your account and proceed to the profile setup.
Step 2: Access Your Organization Profile Settings
Once your account is verified and you're logged in, navigate to your organization's profile settings. You can find this by:
- Tapping on your profile icon or organization avatar in the navigation bar
- Selecting Profile Settings or Organization Settings from the menu
- You'll be taken to the profile editing page where you can fill in all your organization's details
This is where the real setup begins. Let's walk through each field you'll need to complete.
Filling In Your Organization Details
Organization Name
Your organization name is one of the first things you set during sign-up, but you can update it in your profile settings if needed. Choose a name that is:
- Recognizable — Use the name people know your organization by. If your legal name differs from your common name, use the one your audience is most familiar with.
- Professional — Avoid abbreviations or nicknames unless they are widely recognized. "OpenTech Solutions" is better than "OTS."
- Accurate — Make sure the name matches your official registration documents if you plan to verify your organization later.
Your organization name appears on your profile page, on all task listings you create, on affiliated users' profiles, and in search results. Choose carefully, as this is your primary identifier on the platform.
Selecting Your Organization Type
Opengates categorizes organizations into three types. Selecting the right type helps freelancers understand the nature of your work and sets appropriate expectations.
For-Profit
Choose For-profit if your organization is a commercial business that operates to generate revenue. This includes:
- Corporations and LLCs
- Startups and small businesses
- Agencies (marketing, design, development, consulting)
- E-commerce companies
- Professional services firms
For-profit organizations are the most common type on the platform. Freelancers working with for-profit organizations typically expect standard commercial terms and competitive rates.
Non-Profit
Choose Non-profit if your organization operates for charitable, educational, religious, or social purposes without the primary goal of generating profit. This includes:
- Charitable foundations
- Educational institutions
- Religious organizations
- Community service organizations
- Environmental groups
- Humanitarian aid organizations
Non-profit organizations may attract freelancers who are passionate about your cause and willing to work at adjusted rates. Your non-profit designation is visible on your profile, which helps set the right expectations.
Government
Choose Government if your organization is a government body, agency, or department at any level — local, regional, or national. This includes:
- Municipal governments
- State or provincial agencies
- Federal departments
- Public utilities
- Government-funded programs
- Regulatory bodies
Government organizations often have specific procurement requirements and work processes. The government designation on your profile signals to freelancers that the work may involve public sector standards, timelines, and compliance requirements.
Uploading Your Organization Logo
Your logo is a critical element of your organization's identity on Opengates. It appears in multiple places across the platform:
- On your organization's profile page
- On all task listings you create (as an organization badge)
- On the profiles of users affiliated with your organization
- In search results and discovery pages
- In messaging threads and notifications
To upload your logo:
- In your profile settings, find the Logo or Profile Image section
- Click the upload button or drag and drop your image file
- Select a high-quality image file (PNG, JPG, or JPEG format recommended)
- Adjust the crop if needed — logos are typically displayed in a circular or square format
- Save your changes
Tips for a great logo:
- Use a high-resolution image (at least 400×400 pixels) to ensure it looks sharp on all devices
- Choose an image with a clean background — transparent PNGs work best
- Make sure your logo is recognizable even at small sizes, since it will appear as a small badge on affiliated users' profiles
- Avoid using photographs as logos — use your actual brand mark or emblem
- If you don't have a logo yet, consider using your organization's initials in a clean, professional design
Writing Your Organization Description
Your description is your opportunity to tell the Opengates community what your organization is all about. This is the section where freelancers learn about your mission, your work, and what it's like to collaborate with your team.
A strong organization description should include:
- What your organization does — Describe your core business or mission in clear, straightforward language. Avoid jargon unless your target freelancers will understand it.
- Your industry or sector — Mention the field you operate in so freelancers with relevant expertise can find you easily.
- What you're looking for on Opengates — Briefly describe the types of skills or projects you typically need help with. This helps attract the right freelancers.
- Your values or culture — If your organization has a particular work culture or set of values, mention them. Freelancers often choose to work with organizations whose values align with their own.
Example description:
"OpenTech Solutions is a software development agency based in Nairobi, Kenya. We specialize in building web and mobile applications for businesses across East Africa. On Opengates, we're looking for talented developers, designers, and content creators to join our projects. We value clear communication, quality craftsmanship, and building long-term working relationships with our freelancers."
Keep your description between 100 and 500 words. Long enough to be informative, short enough to hold attention.
Adding Your Website
If your organization has a website, adding it to your profile is highly recommended. Your website link:
- Provides additional credibility and context about your organization
- Gives freelancers a place to learn more about your work, portfolio, and team
- Can be used as one of the three methods for organization verification
To add your website:
- Find the Website field in your profile settings
- Enter the full URL, including
https://(for example,https://www.yourorganization.com) - Save your changes
Make sure the website you link is active, professional, and represents your organization accurately. A broken or under-construction website can hurt your credibility rather than help it.
Setting Your Location
Adding your organization's location helps freelancers understand where you're based and can be important for projects that require local knowledge, timezone alignment, or in-person collaboration.
To set your location:
- Find the Location field in your profile settings
- Enter your city, region, or country — be as specific as is appropriate for your organization
- Save your changes
For organizations with multiple offices or remote teams, you can enter your headquarters location or the location most relevant to your Opengates activity.
Reviewing and Publishing Your Profile
After filling in all the details, take a moment to review your profile before publishing:
- Preview your profile — If available, use the profile preview feature to see how your organization appears to other users
- Check for completeness — Make sure every field is filled in. Incomplete profiles look less professional and are less likely to attract top freelancers
- Verify your logo — Ensure your logo displays correctly and looks professional at different sizes
- Proofread your description — Check for typos, grammatical errors, and unclear phrasing
- Test your website link — Click your website URL to make sure it works and leads to the right page
Once you're satisfied with everything, save your profile. Your organization is now live on Opengates and ready to be discovered by freelancers.
What to Do After Setting Up Your Profile
With your profile complete, here are the recommended next steps:
-
Verify your organization — Submit your verification documents to earn a verification badge. This significantly boosts your credibility. See Organization Verification.
-
Invite your team — Use the affiliation system to connect your team members to the organization. See Managing Affiliations.
-
Post your first task — Start hiring talent under your organization's brand. See Posting Tasks as an Organization.
-
Optimize your branding — Make sure your organization's visual identity is consistent across the platform. See Team Branding.
Common Profile Setup Questions
Can I change my organization type later?
Yes, you can update your organization type in your profile settings if your organization's classification changes. However, keep in mind that changing your type may affect how freelancers perceive your organization, so only make changes that accurately reflect your current status.
What if I don't have a logo yet?
While you can create your profile without a logo, we strongly recommend adding one as soon as possible. A logo is essential for team branding — it appears on affiliated users' profiles and task listings. Without a logo, your organization will use a default placeholder image, which looks less professional.
Can multiple people manage the organization profile?
The organization profile is managed through the organization account. Access to the account credentials allows team members to update the profile. For security, we recommend limiting access to profile settings to authorized administrators within your organization.
How long does profile setup take?
Most organizations can complete their profile setup in 10 to 15 minutes. Having your logo file, website URL, and a draft description ready before you start will make the process even faster.
